The Occupational Health Service (OHS) consists of a multi-disciplinary team with a professional range of medical, health and psychological services. By providing advice and guidance on health-related matters, the OHS supports the Council in its statutory duty as the employer to protect the health and welfare of its employees. OHS provides the following benefits:
- Independent, impartial advice to management and employees on the effects of work on health.
- Pre-employment Health Assessments.
- Driver Assessments.
Recommend appropriate reasonable adjustments within the workplace to help staff to remain in work; and on phased return work plans advising on temporary reasonable adjustments.
Appropriate health surveillance to fulfil statutory requirements, e.g. Hand Arm Vibration assessments, audiometry, respiratory testing.
Improve the attendance and performance of the workforce by assisting in the management of sickness absence.
Advice and assessment of eligibility for ill health retirement (IHR) and medical redeployment.
About the job
We are looking for an experienced Administrator, reporting to the Occupational Health Administrative Team Leader. The purpose of this full-time role is to provide an efficient and effective administrative support to team members in the delivery of an effective Occupational Health Service.
You will be providing administrative support to internal and external Occupational Health clinicians, as well as employees using the service. You will also be using online platforms, e.g SharePoint, to store and share documents.
The successful candidate will maintain medical confidentiality at all times and ensure medical records are stored safely in accordance the National Midwifery Council (NMC) Guidelines.
What We Are Looking For From You
You will have experience of working in an office setting and will be required to simultaneously undertake reception duties and administrative tasks, you will have the ability to communicate clearly both in writing and orally.
You will demonstrate the ability to work as a team member and must remain calm under pressure. You will be highly organised and have the ability to skilfully prioritise workloads, completing deadlines for diverse workloads.
You will be competent in use of IT, including Microsoft Packages and SharePoint and have experience in the use of databases.

Additional information
This post is full-time (37 hrs) fixed-term for 2 years from the date of appointment. Due to the nature of OHS is office-based at Occupational Health Service, Radyr Court, Radyr Place, Mynachdy, Cardiff CF14 3HP.
Internal candidates who wish to apply for this position on a secondment basis must obtain approval prior to application using Form SEC1 (4.C.081). Requests may only be approved by the relevant Director/ Assistant Director/ Chief Officer or senior nominated officer graded no lower than OM2 or in the case of schools based staff the Headteacher / Governing Body.
This salary is subject to the Living Wage supplement, which brings pay rates up to £9.90 per hour (scp 1-3). This supplement will be reviewed in April 2023 and thereafter annually in April. Cardiff Council reserves the right to make any changes to, or removal of, the Living Wage supplement.
Employees may opt into the Local Government Pension Scheme, which is one of the most generous pension schemes in the UK.
